The Data Patch (“we”, “us”) is a data management consultancy based in Louisiana, USA. This policy covers this website and the ways you can contact or pay us through it. If you have questions, email info@thedatapatch.com.

The short version

  • This website uses no cookies, no analytics, and no tracking.
  • We only get personal information when you choose to send it to us: by emailing us, booking a call, or paying an invoice.
  • We use it to work with you and to keep the business records the law requires. We don’t sell it or use it for advertising.

What we collect and why

When you email us. We receive your name, email address, and whatever you write. We use it to reply and, if we work together, to run the project.

When you book a call. Bookings go through Google Calendar. We receive the name, email address, and any notes you enter, and use them to hold the meeting.

When you pay an invoice. Online payments are handled by Stripe on its own secure checkout page. We receive your name, email address, the amount paid, your invoice number, and a summary of the payment method (for example, the card brand and last four digits). We never see or store full card or bank account numbers. We use this to match payments to invoices, send receipts, and keep accounting records.

When you visit this website. The site is hosted on GitHub Pages. Like most web hosts, GitHub records visitors’ IP addresses in its server logs for security purposes. We don’t have access to those logs and don’t use them.

Client project data. Data you share with us during a project is handled under the agreement for that project, not this policy.

Services that process data for us

We rely on a few companies to run the business. Each handles your information under its own privacy policy:

These companies may process data in the United States and other countries.

We process your information to take steps toward or carry out a contract with you, such as replying to an enquiry, running a project, or taking a payment; to meet legal obligations such as tax and accounting record-keeping; and for our legitimate interest in running and protecting our business.

How long we keep it

We keep correspondence for as long as we are working together and for a reasonable time afterward. We keep payment and invoicing records for as long as tax and accounting rules require, which is typically up to seven years.

Your choices and rights

You can ask us to:

  • tell you what personal information we hold about you and give you a copy
  • correct anything that is wrong
  • delete your information, unless we have to keep it by law
  • stop using it for a particular purpose

Email info@thedatapatch.com and we’ll respond within 30 days. If you are in the EU or UK, you also have the right to complain to your local data protection authority.

Security

We use reputable providers, keep access to our accounts limited, and protect them with strong authentication. If a breach affects your personal information, we’ll notify you as required by law.

Changes to this policy

If we change how we handle personal information, we’ll update this page and the date at the top. If we start using cookies or analytics, we’ll update this policy and ask for your consent first where the law requires it.
